This website, www.macvideography.co.uk, collect’s private user data using forms generated by our booking CRM “StudioNinja” and notifications of your data is sent to our email address “hello@macvideography.co.uk”

The data is also stored on our booking CRM system “StudioNinja” server, in most cases dating back to when each form was created.

By completing our contact forms and any online questionnaires you agree to MAC Videography LLP contacting you about wedding videography and photography services provided by MAC Videography LLP. You will not be added to any mailing lists and will only be contacted by MAC Videography LLP in relation to your enquiry. From time to time, we may send you a direct communication under “legitimate interest” to make you aware of any related services, news and events we are attending.

Your personal details will not be passed onto any third parties. They will only be stored in the email generated by these forms, hosted by Google and on our booking CRM “StudioNinja”. Our emails are exclusively accessible by MAC Videography LLP only. If you wish to request for any email(s) containing your personal information to be deleted, please email hello@macvideography.co.uk

CLIENT VIDEO AND PHOTO GALLERIES

MAC Videography LLP creates a client gallery for each client to whom photos and videos are delivered as part of the services contracted. MAC Videography LLP’s client galleries are externally hosted by Wedflo and Vimeo for video delivery. Their privacy policy can be found below:

CLIENT DATA HELD ON FILE

We take care of the processes around looking after personal data stored on our physical systems. MAC Videography LLP holds the following personal data of clients:

• Names
• Addresses
• Phone numbers
• Email address

This data is only used in order to respond to your enquiry for MAC Videography LLP to provide wedding videography services, and is accessed through devices that are password protected and further protected by two factor authentication (2FA).

If you decide to book the videography services of MAC Videography LLP these details are held on the Booking CRM “StudioNinja” system which is password protected and protected further with two factor authentification.

Client films are safely stored on our computer systems which are password protected and further backed up on an encrypted internal server. Further copies of our films are stored on the cloud “Google Drive” who are GDPR compliant for archiving purposes.

CLIENTS AND WEDDING GUESTS CAPTURED IN VIDEO AND PHOTOS

Under GDPR legislation, a photograph may in some instances constitute a form of personal data where they can be processed to allow “the unique identification or authentication of a natural person”. MAC Videography LLP will never photograph an individual as a means of unique identification or authentication unless consensually contracted to do so. Guests at weddings appear in photos and video taken by MAC Videography LLP as a part of the visual recording of the event in photos and video. Guests captured in portraits or in group photos do so as part of the event and their rights are protected by MAC Videography LLP as detailed in this privacy policy.

In terms of explicit GDPR compliance, Wedding clients and guests are photographed and filmed within the parameters of GDPR legislation on the basis of ‘legitimate interests’. The taking of photographs and/or filming of wedding guests when viewed as a form of processing personal data is necessary for the legitimate interests of MAC Videography LLP given individual’s personal data which overrides those legitimate interests.

Operating within the parameters of legitimate interests as laid out in GDPR legislation, the disproportionate effort involved in providing privacy policy information to all wedding guests at the event and the degree to which it would distract us from performing our job renders it infeasible to do. Wedding clients are therefore requested in their contract to direct their guests to read this privacy policy in advance of the event and to advise them to contact us in advance with any concerns around the processing of their personal data, namely being photographed and/or filmed.

WITHDRAWAL OF CONSENT

Anyone photographed and/or filmed by MAC Videography LLP, whether a client or wedding guest, and whether past or current may withdraw consent for a photograph/video in which they appear to be displayed. The process for this is to email MAC Videography LLP at hello@macvideography.co.uk specifying the photo/film in question. Pursuant to the request, MAC Videography LLP will then remove the photo/section of film from online and printed display wheresoever it appears within 30 days of the request.

SOCIAL MEDIA POLICY & USAGE

We adopt a safe and responsible Social Media Policy. While we may have official profiles on social media platforms, users are advised to verify the authenticity of such profiles before engaging with, or sharing information with such profiles. We will never ask for personal details on social media platforms. Users are advised to conduct themselves appropriately when engaging with us on social media.

DISPLAY OF IMAGES

We may display any photographs and/or videos to promote MAC Videography LLP wedding blogs, on wedding photography/videography related websites, in advertising, brochures, magazine articles and other such material, providing that the images used are used lawfully and without damage to MAC Videography LLP client(s). The rights of the people captured in these photographs are protected by MAC Videography LLP as detailed in this privacy policy.
